Modify Free Spreadsheet: Automatic Accounting’s First Worksheet: GL-JAN

Okay....let's start with the general ledger to modify free spreadsheet, automatic accounting.
Keep in mind...it is a lot easier to delete businesses than add them in the Automatic accounting spreadsheet.
So if you only needed an accounting spreadsheet for 2 businesses...it would be a lot easier for you to modify free spreadsheet BA3BizAuto) and just delete 1 business than to add 1 business to the BA1BizAuto.
Below are step-by-step instructions for deleting a business account in the 3 Biz Automatic free printable spreadsheets:
- SAVE an original copy.
- Look at the bottom tabs.
- Click on the first tab named “GL-Jan”.
Modify Free Spreadsheet Automatic Accounting by Deleting 1 Business Account Column on General Ledger:
- Select columns J-L. (Click on the letter of the column you want to delete and hold the left button on your mouse and highlight all columns you want to delete)
- You can either right click on further down in the worksheet and click on Delete or….on the Home tab, in the Cells group, click the drop down arrow next to Delete, and then click Delete Sheet Columns.
- Now correct your formulas in the Balance column: select (click on) the last cell in row 6.
- Click the F2 button on your keyboard, hit backspace 6 times, then Enter to set formula.
- Select the last cell in row 10, click F2, select the +#REF! , click delete, select the -#REF! , click delete,then Enter.
- If you deleted the last 2 columns...your formula would look like this:
=F10 + I10 – E10 – H10 + K6...The formula is stating that all amounts in the credit column minus any amounts in the debit column plus your beginning balance in row 6 equals row 10’s line balance.
- Now select the last cell in row 11, and follow directions in step#5. (Only difference in your formula will be the row number 11 and the last number in the formula will be the last cell in row 10.)
- Select the last cell in row 11, again, Notice the little black box on the bottom right corner of that cell. That is your “Fill Handle”. Put your mouse pointer over it. Notice how the pointer goes from a fat white plus sign to a skinny black plus sign. That means your fill handle is ready. Click and pull down to row 15.
- Okay....here’s the part you are probably going to hate me for...okay...hopefully not hate...maybe strongly dislike at the present moment...but I didn’t know any other way to set it up...all of these are set up with individual income and expense accounts...so you are going to have to reset each account’s balance column like you did above for the first income account....sorry...but I did warn you that to modify free spreadsheet: automatic accounting would not be easy :)
- I’ll help you with the second one...select the last cell in row 18 and repeat step #5 - 8. Your formula will look like this: =F18 + I18 – E18 – H18 + K15 in row 18 and like this is row 19: =F19 + I19 – E19 – H19 + K18...then you will be pulling the fill handle in that last corrected cell in row 19 down to row 23.
- Or if you do not mind doing a little cosmetic reconstruction, I’ll tell you an easier way to so it: Just select the last two cells in rows 18 and 19 and click copy and select last cell in row 26 and hit enter.
- Select last cell in row 27, then pull the fill handle down to the last cell in row 31. Repeat for each line account.
- The only thing is it sometimes takes away the border line, so you will need to do a little cosmetic reconstruction...on the home tab, in the font group, click on the arrow on the border’s icon, go to Line Style and click on the 8th line style. Your pointer now looks like a pencil...just click on the line you want replaced. If you get a little crazy and put a border (line) where you didn’t really want one...just click on that border arrow again and go to Erase Border and click on line you want erased. Hit the border icon to turn your pointer back to normal.
- Last of all...select last cell in row 83 and correct formula... click F2, select the +#REF! , click delete,and the enter
- Whew! One worksheet done...only 11 more left! Repeat all steps for the rest of the 11 months to modify free spreadsheet...automatic accounting.
Okay...now take a deep breath and....
